Digital procurement platforms promise better prices and more transparency, but you calculate your margin differently than with traditional suppliers. Many hospitality entrepreneurs forget to include platform fees, minimum orders, and other hidden costs. Here's how to calculate the real cost price when buying digitally.
Why digital procurement is different
Traditional suppliers keep things simple - you pay the purchase price and that's it. Digital platforms complicate matters with commissions, service fees, and minimum orders that directly impact your margin calculations.
⚠️ Note:
The price displayed on the platform is rarely your actual purchase price. Platform fees, delivery costs, and VAT get added on top.
All costs you need to include
For accurate margin calculations, add these costs to your ingredient price:
- Product price: what the ingredient costs
- Platform fee: usually 2-8% of order value
- Delivery costs: often €3-15 per delivery
- Service fees: some platforms charge extra admin fees
- Minimum order: if you need to order extra to meet the minimum
💡 Example:
You order beef tenderloin for €180 through a digital platform:
- Product price: €180.00
- Platform fee (5%): €9.00
- Delivery costs: €7.50
- VAT (9%): €17.69
Real purchase price: €214.19 (19% higher than the displayed price)
Formula for real cost price
Use this formula to calculate your actual cost price per kilo:
Real cost price = (Product price + Platform fee + Delivery costs + VAT) / Number of kilos
💡 Example calculation:
Order: 5 kg salmon for €90 + €4.50 platform fee + €6 delivery:
- Total incl. VAT: (€90 + €4.50 + €6) × 1.09 = €109.55
- Per kilo: €109.55 / 5 kg = €21.91/kg
While the platform price seemed €18/kg, you actually pay €21.91/kg.
Impact on your food cost calculation
With the real cost price, you calculate your food cost percentage:
Food cost % = (Real ingredient costs / Sales price excl. VAT) × 100
💡 Food cost comparison:
You sell salmon fillet for €28 (€25.69 excl. VAT):
- Platform price (€18/kg): 200g = €3.60 → food cost 14%
- Real price (€21.91/kg): 200g = €4.38 → food cost 17%
Difference: 3 percentage points higher food cost due to hidden fees
When digital procurement makes sense
Despite extra costs, digital procurement can be worthwhile for:
- Large orders: platform fees spread across more kilos
- Specialty items: products traditional suppliers don't carry
- Time savings: less time spent calling and negotiating
- Transparency: direct price comparison between suppliers
This is the kind of thing you only learn after closing your first month at a loss - those small percentage fees add up fast across all your ingredients.
⚠️ Note:
Always compare the real cost price (including all fees) with your current supplier. The platform price alone gives a misleading picture.
Tools for cost price calculation
A food cost calculator helps you compare different suppliers and their real cost prices. You enter the total purchase price (including all fees) and immediately see the impact on your food cost per dish.
This helps you decide whether a digital platform is truly cheaper than your current supplier.
How do you calculate the real margin? (step by step)
Gather all costs from your order
Note the product price, platform fee (usually 2-8%), delivery costs, and any service fees. Also check if you need to pay VAT (9% on food). Add everything up for your total purchase price.
Calculate the cost price per kilo or unit
Divide your total purchase price by the number of kilos or units you received. This is your real cost price per unit, including all hidden costs from the platform.
Compare with your current supplier
Put the real cost price next to what you currently pay from your traditional supplier. Don't forget to factor in quality, delivery reliability, and payment terms in your decision.
✨ Pro tip
Track your platform fee percentages for 30 days across all orders - they often vary by supplier and product category, giving you negotiating power for bulk purchase agreements.

Frequently asked questions
Are platform fees always the same percentage?
No, platform fees vary from 2% to 8% and can differ by product category. Some platforms charge a fixed amount per order instead of a percentage.
What if I don't meet the minimum order?
You often pay extra costs or have to order products you don't need. Factor this 'waste' into your cost price or combine orders with other kitchens.
How do I handle partial deliveries on digital platforms?
If your order gets split across multiple deliveries, you'll pay delivery fees multiple times. Always factor in the possibility of split orders when calculating your real cost price. Some platforms offer delivery fee caps for this situation.
